DESCRIPTION: The Practice Administrator has the overall responsibility for managing multiple practice locations in central Massachusetts including staff recruiting, selection, training and evaluation, budget management and practice operations. Directs day to day operations to include ongoing review and evaluation of operational issues. Recommends measures to improve performance and increase efficiency in the office including policy, procedures and other practice related issues. Professional responsibility to include knowledge & leadership skills, ethical standards, and staff motivation. The Practice Administrator may also participate in other Mass Lung & Allergy business development activities.
REPORTS TO: Board of Directors
Supervise all office and support personnel as required to assure efficient and effective office work flow, according to office policy
Recruit, hire and terminates personnel as needed
Onboard new hires, orient new employees, and oversee training programs
Conduct annual personnel performance and salary reviews
Develop and maintain Job Descriptions for non-provider staff
Arrange and maintain records for personnel schedules, vacations, sick leave, etc.
Conduct staff meetings
Maintain active and up to date licensing and insurance documents for all physicians and staff
Maintain the Employee Policy Handbook
Manage employee benefits programs including enrollment and cancellations
Manage the Payroll System
Maintain personnel files as instructed
Prepare and oversee clinic compliance programs
Responsible for rectifying all personnel problems as they relate to office efficiency, effectiveness, patient safety and patient privacy
Responsible for staying current with state and federal regulations which govern the clinical environment
Develop and maintain Practice Processes and Procedures Manual
Assist staff with understanding and implementing policies and procedures
Adhere to and promote Mass Lung & Allergy values
Attend and maintain records for physician meetings
Assist with staffing the front office as needed during staff shortage
Determine and change staff assignments and job descriptions as needed
Responsible for risk management including physician malpractice, OSHA & CLIA compliance issues, patient safety, HIPAA compliance and patient satisfaction
Coordinate and arrange meetings for Mass Lung & Allergy executives and physicians
Attends educational seminars and activities, which benefit the practice
Provide ongoing EMR training and assistance
FINANCIAL & MARKETING
Assist in development of annual budgets
Maintains responsibility for petty cash and weekly copays, also reconciles funds
Review and share monthly productivity reports with physicians
Act as liaison between the physicians and Mass Lung & Allergy management
Update and maintain weekly practice reports
Responsible for the marketing and public relations of the practice
Review monthly Aging Reports
Oversee system and strategy for handling aged accounts
Ensure that offices are well maintained
Oversee in selecting and ordering needed equipment and supplies
Other duties as requested or assigned

Develops and promotes a safe and effective working environment that minimizes potential for accidents
Coordinates repair or maintenance services to building/equipment

The Ideal Candidate:
Bachelors degree with specialty in healthcare, public administration or related field
MPH, MHA, MSN or MBA and experience preferred.
Five (5) years management experience in a specialty setting required.
Proficiency with EMR systems (eCW preferred) and software applications, including MS Office
Knowledge of budget, billing, finance and managed care rules and regulations preferred.
Membership in a professional organization such as Medical Group Management Association (MGMA) or American College of Healthcare Executives (ACHE) certification is strongly encouraged.
Must demonstrate a record of increasing job responsibility linked to accomplishments in health care management. Strong physician relations experience required
