Job Summary: The Dept. Asst. SWHP provides secretarial support to an assigned area of Health Plan or department. Provides secretarial support to ensure health plan office or department efficiency. Routinely schedules appointments, meetings and luncheons, notifying all participants in a timely manner; provides meeting support such as agenda preparation, travel arrangements, etc; attends meetings and takes accurate minutes as requested.
Promptly and courteously answers and screens phone calls for the office or department; routes calls as appropriate within established customer service guidelines; accurately records messages and delivers to the appropriate party in a timely manner.
Accurately and rapidly types a variety of reports, forms and correspondence from rough drafts, corrected copies or from a Dictaphone; effectively composes other routine correspondence.
Creates and diligently maintains a variety of confidential files in accordance with established policies and procedures.
Responsible for overflow workload and coverage for other areas.
Coordinates and updates Health Plan forms and manuals.
Creates and maintains Health Plan reports.
Provides additional clerical duties in support of health plan office or department operations.
Greets Health Plan visitors, guests and patients promptly and courteously; ascertains their needs and provides assistance in accordance with established Health Plan policies and procedures, or if unable or unqualified to assist, promptly refers to the appropriate party or department. Assists members with Health Plan questions or premium payments. Monitors supply levels and orders accordingly. Provides clear photocopies in a timely manner. Creates and maintains SWHP letter templates with a high level of accuracy and attention to detail. Promptly sorts and distributes Health Plan mail. Performs other position appropriate duties as required in a competent, professional and courteous manner. REQUIRED SKILLS, KNOWLEDGE AND ABILITY: Organizational skills required. Knowledge of Microsoft Office Suite required. Knowledge of accounting policies and procedures and Health Plan system for collecting premiums. Performs job duties in a manner consistent with organization and departmental safety policies and procedures. Completes update on safety through the organization's computerized education system on an annual basis; reads, understands and signs the MSDS manual on an annual basis. QUALIFICATIONS
