The Associate Program Managerfor Children's Miracle Network Hospitals(r) (CMN) and Community and Corporate Relations plays an integral role in supporting the fundraising efforts for Vanderbilt University Medical Center. This position works closely with the Children's Miracle Network Hospitals Directors to support campaigns, programs, and events. In addition, this role assists the Community and Corporate Relations team with various corporate-facing engagement initiatives. This person will support the administration of the financial processes and fundraising/digital platforms that are used for our fundraising activities.
Under the supervision of the Program Manager, the Associate Program Manager will have the following responsibilities:
Develop communications materials, including the Corporate Connections e-newsletter, to support CMN campaigns, events, and programs as well as other corporate fundraising and stewardship initiatives. Work collaboratively with Strategic Communications and freelance designers (as needed) on the development of select communications deliverables.
Prepare correspondence and mailings, maintain data, and produce reports to support campaigns, events, programs, and solicitation activity.
Coordinate with VUMC Gift and Donor Services to ensure that gifts received from campaigns, events, programs, and quarterly disbursement checks are handled timely and accurately.
Complete quarterly EZPMR report for the national Children's Miracle Network Hospitals office and assist with other CMN reporting upon request.
Maintain and monitor operating budgets for CMN team and perform monthly reconciliation of financial activity. Ensure invoices and fees are paid accurately and on time.
Coordinate with external vendors to place orders for promotional items, print campaign kit collateral, and secure other items or services needed to support fundraising activities. Maintain inventory of promotional items.
Field inquiries from potential new corporate partners and facilitate the processing of applications for third-party corporate fundraising activities.
Support Development Officers' activities through maintaining information in prospect and donor databases, contact lists, and Master Development Events Database.
Provide administrative support for assigned Development Officers including, but not limited to, scheduling meetings, managing monthly budget/expenses, preparing travel approvals, making travel arrangements if needed, submitting expense reports, and other standard office activities.
Assist with meeting preparation and follow-up. Assist with producing meeting materials and conduct basic research on corporate prospects as requested.
Assist Development Officers with stewardship activities such as visits with donors, check presentations, and tours.
Attend CMN and corporate/community fundraising events as needed to assist with set-up, registration, silent auctions and/or other logistics.
Coordinate with Digital and Direct Marketing to set up crowdfunding pages, peer-to-peer campaigns, or donation pages for our corporate partners' fundraising initiatives.
Build productive and collaborative working relationships with VUMC Development colleagues and partners across the Medical Center.
Maintain knowledge of all VUMC Development administration and financial policies.
Uphold departmental and institutional policies regarding confidential information.
Proficiency with Microsoft Outlook, Word, Excel, PowerPoint
Experience with or willingness to learn Adobe InDesign, Adobe Acrobat DC and Canva
Experience with Smartsheet, Classy, and Ellucian Advance platforms helpful
Ability to perform and coordinate multiple projects and priorities on a regular basis with minimal supervision

This is a full-time position.
Position requires some travel and flexibility to work nights and weekends when needed.
