The role you’ll contribute:
The Return to Work Specialist is an individual contributor supporting AdventHealth’s (AH) operational area of Return-to-Work Clearance administration in HR Shared Services. The Return to Work Specialist is responsible for the administration and communication of procedures and policies related to leave of absence and return to work clearance requests, including, but not limited to, liaising with the leave administration 3rd party vendor, verifying eligibility for federal, state and company leaves as needed, maintaining proper documentation in support of certain in-house leave administration and return-to-work clearance duties, and identifying team members on specific unauthorized leaves of absence and those with restrictions for referral to Employee Relations.
The value you’ll bring to the team:
- Act as a subject matter expert in the management of return-to-work and leave administration, including company policy, federal and state regulations, HR best practices, internal business documents and workflows
- Accurately resolve assigned cases, including answering phone calls, responding to emails, and processing paperwork within the company established service and operational level agreement timelines; Meet team metrics, achieving desired levels of performance, quality, and efficiency
- Oversee the return-to-work process through communication of policies and procedures, collection and processing of applicable documentation and timely outreach to team members on unauthorized leaves of absences; serve as a liaison between managers, team members and external vendor partners
- Liaise with Employee Relations in support of interactive process requirements under the ADA
- Consult with team members and provide information relating to leave of absence, timelines, and pay policies, including third party sick pay opportunities
- Process any assigned in-house specific leave of absence requests, including analyzing initial leave eligibility, evaluating supporting documentation, updating systems, and making management notifications as applicable
- Maintain appropriate working relationships with vendor account managers, corporate and local HR leaders, internal Shared Services cross teams and HRIS teams
- Ensure compliance with HIPAA, maintaining employee privacy, including confidentiality and protection of sensitive information
- Maintain up-to-date knowledge of applicable federal, state, and local HR and leave related laws
- Assist in creating standard operating procedures for the position
- Meet professional obligations through efficient work habits such as, honoring work schedules, meeting deadlines, and coordinating resources in an effective and timely manner
QualificationsThe expertise and experiences you’ll need to succeed:
- Bachelor’s degree, or the equivalent in education and related experience
- Knowledge of employee benefits administration, including applicable state and federal regulations surrounding FMLA, ADAAA, USERRA, HIPAA, ERISA, OSHA, IRS and DOL regulations
- Skilled in understanding and applying applicable rules, regulations, policies, and procedures relating to leave of absence administration
- Experience in a large employer setting with multiple leave of absence programs and policies, preferred
- Applicable Industry certification, such as CEBS (Certified Employee Benefits Specialist) or PHR/SHRM-CP (Professional in Human Resources) Certification, preferred
