The role you’ll contribute:
The purpose of this position is to create a pleasant experience facilitating the flow of business for Corporate Services employees and guests, by providing exemplary service through voice communications and personal interactions. The person in the position offers a warm welcome to community leaders, AdventHealth board members, executives, requiring the highest level of tact, professionalism, and commitment to service; additionally, perform administrative support, handles special projects, fully knowledgeable of all Campus Administration policies, and safety procedures
The value you’ll bring to the team:
Handles campus-related responsibilities and assigned projects on a timely basis, with accuracy, and with appropriate communication & teamwork. Assists Campus Experience Manager with special projects upon request. Receives calls, questions, and reports of problems regarding Campus issues; and escalates to supervisor as appropriate.
Follows procedure in opening and closing front desk and ensures that the front desk and the doors are secure. Has the ability to handle all front desk duties in absence of the other team members at all corporate campus locations (which may include but is not limited to coffee distribution, mail distribution, ordering of paper supplies, etc.)
Immediately communicates and escalates any weather alerts or security-related incidents, or an emergency.
Communicates updates for updating Connect Site, Campus Administration, Corporate Phone and Hospital Directories and Corporate Holidays.
Communicates directly with Manager on updates for the Master List and Distribution Lists that fall under the Campus Administration department.
Serves as a point of communication for campus AED and CPR classes.
Answers telephone promptly, handles the needs of the caller professionally and expeditiously.
Screens and directs all calls to managers and executives when phones are forwarded to reception area.
Assists Assistants with phone inquiries, conference calling, operator assistance and overseas calls.
Responsible for inventory of security badges which includes checking access badges in the overnight drawer, updating the security badge log and tracking any badge that has not been returned, following the designated procedures.
Must be alert to surroundings to handle situations that may arise; ie, security, deliveries, protestors, disgruntled visitors, etc.
Serves as concierge for staff and visitors. Greets and directs all visitors courteously and professionally. Provides appropriate assistance and directs vendors to proper location by contacting an assistant. Exhibits a positive attitude.
Records housekeeping issues in the housekeeping log book and communicates with Facilities via Work Orders regarding any items that need to be addressed.
The expertise and experiences you’ll need to succeed:
An associate degree in business or office management is desirable or comparable combination of education and experience.
A minimum of three years as a receptionist/Administrative support experience
