Associate Process Improvement / IT Project Manager

The Associate IT Project Manager performs project management support and analysis with some guidance in the overall optimization & process improvement efforts. The Associate IT Project Manager works with customers to understand and analyze operational procedures, information requirements, transaction processing, utilization and/or reporting needs. We are looking for someone who will design, implement, and execute an IT testing program within VUMC's HealthIT PMO to improve our testing process for end-to-end projects. This role will serve as a liaison between VUMC's HealthIT Project Management Office (PMO), which owns all large IT software projects, and VUMC HealthIT's Quality Assurance (QA) team that coordinates all testing for software at VUMC. This is a long-term, full-time position that will involve continuous process improvement of VUMC's HealthIT testing process to develop VUMC into an IT software testing center for excellence.
Roles, Responsibilities, Accountability
Initially this role will:
Line up test plans, test scripts, and test resources between these groups for QA to conduct testing.
Create, implement, and execute defined standards and policies around what we test, who tests, and how we test what we test, by type of project and need.
This includes individual unit (application) testing, end to end workflow testing (integrated testing), integration testing (point to point interfaces), and in some rare cases, usability testing with end users.
Work with senior leaders in VUMC's PMO and HealthIT to hold teams accountable to testing standards.
This role is approximately 25% strategy: design, execution, and continuous improvement (i.e. doing a hard thing); and 75% making sure all testing gets done in a smooth and timely manner (many smaller, easier things than the hard thing).
Once VUMC's enhanced testing strategy is underway this role will work on additional process improvements within the HealthIT department.
The right candidate for this role has at least some experience working for a management consulting firm, healthcare consultancy, large EMR vendor, or large academic medical center in an enterprise project management or quality assurance (testing) setting.
Experience working within Epic's recommended testing frameworks a huge plus, but not necessary. Direct Epic experience or certifications are not needed, but would be beneficial for overall context to an understanding what many applications do and how they interact with one another.

PROJECT COORDINATION - (NOVICE): Reviews specific project related documents for completeness and accuracy and ensures project status reports are received, when due, from project managers for all approved projects. Provides administrative and logistics support for various project meetings, training, workshops and facilitated sessions. Coordinates and tracks all work requests to ensure on time project delivery. Keeps project plans updated and ensures key milestones and dependencies are understood. Responsible for record keeping for project meetings such as issues logs, gap analysis sheets, meeting minutes, making copies, team event planning and execution, team travel, on-boarding activities for contractors or consultants, set up and maintenance of project repositories.
PROJECT ISSUES MANAGEMENT (NOVICE): Possesses sufficient fundamental proficiency to successfully demonstrate Issues Management in practical applications of moderate difficulty. Keeps control of all action items and the planned completion dates, and efficiently reports status and resolution to management.
PROJECT PLANNING - (NOVICE): Demonstrates ability to realistically anticipate resource needs, identify and break work down into discrete and measurable tasks, set priorities, define dependencies, schedule activities, prepare acceptance criteria and organize work for a the continuum of projects. Appropriately matches equipment and capital resources to task demands. Reshapes project during life-cycle evolution, if needed. Demonstrates ability to break down work into manageable and measurable units, estimating time and costs appropriate to the project stage. Works with project management tools.
