About the Role:

Job Summary

The Event Coordinator is responsible for coordination of catering, calendaring and room reservations for classes and job fairs within the HR Division. This person will also provide event and clerical support to the Rewards and Recognition and Well-being teams as directed. Weekly rounding with our night and weekend teams at each medical center on a rotating basis is required.

This position is highly visible within the organization and requires an individual with a positive, helpful, and professional image.

Must be able to work 4 hours on night shift one day per week. This includes at least one of the four hour shifts per month on the weekend night shift.

Must be able to use own car for travel to all five medical centers and have ability to lift and transport items needed at each place.

Must be able to attend early morning New Employee Orientation to assist with food and event coordination.

Minimum Job Qualifications

• Licensure or other certifications:

• Educational Requirements: High School Diploma or GED. Proficiency in Excel, SharePoint, Word and Outlook.

• Minimum Experience: A minimum of two (2) years of work experience in the coordination and planning of large scale events, supporting calendars and spreadsheets required. HR experience helpful. Must be personable, professional and always demonstrate a helpful and willing attitude.

Essential Tasks and Responsibilities

• Assist with coordinating classes, hiring events and other events within the Human Resources division

• Reserve meeting rooms both within and outside of NGHS

• Place catering request both within and outside of NGHS. Be point of contact for caterers both within and outside of business hours.

• Provide on-site new employee orientation support

• Processing all invoices related to events you coordinate

• Completing contracts for event or food space and ensuring contracts are sent to vendor in timely manner

• Create, implement and communicate standard work for the Events Coordinator

• Provide monthly reporting on events coordinated

• Weekly rounding on night shifts (including weekends) at all medical center on rotating basis.

• Order/Shop for and prepare baskets of branded items, snacks and relevant fliers to post on huddle boards

• Support HR groups with creative ideas for continuous improvement

• Support Rewards and Recognition department with other duties as assigned

• Support Well-being events as assigned
