Overview
Atlantic Private Care Services is currently seeking a full time Administrative Services Coordinator to work 9AM-5PM in our Basking Ridge location.
Responsibilities
* Receives and screens requests for home health aide services. o Contacts families, agencies, or other referral sources to obtain supplemental information regarding potential client's needs o Explains agency services and policies to inquirers o Refers inappropriate requests for service to the appropriate community resources which may best meet the inquirer's needs. o Requests information regarding the client's health insurance coverage when appropriate, and assists with keeping the client advised and updated on the status of their insurance coverage. * Follows a caseload of clients determined mutually between the coordinators and manager. Coordinates client coverage issues with other coordinators. * Maintains a notebook containing information about each client, including their initial referral, billing information, the aide's schedule, and updated notes on each client. * Schedules aides for the assigned caseload. o Enters the schedule into the notebook o Enters the schedule into the computer database o Notifies the case manager of aide changes which necessitate supervision * When service is terminated, collects chart materials for Clerical Assistant to close the case record. * Maintains telephone contact with assigned clients and caregivers, as well as the agency personnel servicing the case, to ensure quality service. Documents contacts in client's record. * Documents aide-specific work history/ problems. Completes disciplinary action forms, tracks call outs, tardiness, and meets with employee, as needed, to discuss performance issues. * When recommending that an aide not be used, or be changed to inactive status, retrieves employee file, completes Employee Separation Form, and provides Human resources with file and notification regarding employee's status. * Notifies billing office of changes in billing status and notes on scheduling sheets. * Coordinates with the case managers and Clinical Manager to promote efficient response to client's request for service. * Participates in agency planning activities and performance improvement activities, as needed. * Obtains report from evening and weekend on-call staff, and follows-up on issues not resolved during off-hours. Gives report to on-call staff in the evening and on Fridays, in preparation for the weekend.
Qualifications
EDUCATION:
High School diploma or equivalent * Must possess exceptional communication, organizational and computer skills and be able to relate to the public and others courteously and effectively by telephone
Minimum Experience Required:
At least one year's experience in general office work preferred, particularly with scheduling or related duties. * Experience with a home care agency preferred.
