The system Payroll department is responsible for ensuring timely, accurate payment to employees for work performed in their respective positions. The department ensures appropriate practices and policies are in place to drive accuracy and compliance.

Role Purpose
Responsible for the accurate and timely submission of payroll tax payments and reporting requirements as well as recording and reconciliation of payroll within the General Ledger applications of BJC Health System. Responsible for auditing payroll tax compliance of benefits and status elections.
Responsibilities
Completes and submits payroll related tax documents to local, state and federal agencies, as required. Troubleshoot and assist in resolution of tax filing issues or inquiries received from agencies as they arise. Understand the tax compliance in all states and local municipalities in which we employ, including our virtual workforce. Ensure BJC Health System and its affiliates are registered and licensed in all states where employees are working. Assist team in understanding tax laws, regulations, and best practices.
Represents the System in payroll tax related issues. Complete audit of benefit payments to ensure tax compliance with state regulations. Create and manage biweekly payroll tax audits to ensure tax compliance based on place of employment or home residence. Research and resolve payroll tax variances identified in the audits.
Responsible for the reconciliation of payroll and related tax submissions to the General Ledger. Research and identify any payroll related tax credits available to the system by staying up to date in payroll related tax regulations. Process biweekly, monthly, and quarterly tax deposits to state and local municipalities by deadlines. Assist other BJC service lines to provide completed tax documents and ensure understanding of tax documents for other external reporting matters, such as finance and reimbursements.
Completes audits of employee status elections to ensure compliance with exemption periods for employed physicians on a J1 of F1 visa. Verify they meet the residency deduction exemption by reviewing the Foreign National Information Form completed by each J1 of F1 visa holder and completing the substantial presence calculator. Ensure the substantial presence calculator is up to date based on current tax regulations.
Ensures adequate controls around year-end tax reporting including reconciling to quarterly submissions and printing, sealing, and mailing of W2?s.
