Project Coordinator

We are seeking a detail-oriented, organized professional who will provide essential technical and administrative project support to Project Managers and project teams. In this role, you will assist with project planning, execution, tracking, and documentation, ensuring projects progress on schedule, within scope, and with strong attention to process and accuracy. This role is well-suited for someone with an administrative or coordination background who thrives in a fast-paced, collaborative project environment.

The Scope: Project Support & Coordination
The Project Coordinator supports a portfolio of projects ranging from $0-$25M and serves as a key member of the project team. This position provides technical and administrative support to assigned Project Managers, assisting with documentation, contract creation, scheduling, and coordination activities.
The team currently includes three Project Coordinators; each aligned to a Project Manager. While this role does not require design or construction experience, it does require strong organizational skills, the ability to work within a matrixed environment, and comfort supporting multiple, concurrent project tasks.
Candidate Qualifications
Candidates for this position will be evaluated according to the following criteria and competencies.
Bachelor's Degree in a related field or equivalent years of experience
0-3 years of relevant experience
Experience demonstrating professional judgment and diplomacy in handling unexpected problems and frequent interruptions
Basic proficiency in Microsoft Office (Word, PowerPoint, Excel)
Strong organizational, time-management, and communication skills
Preferred
Experience working in a matrix organization or complex work environment
Administrative or project coordination background
Experience using systems such as Oracle and Trimble
Understanding of procurement processes
Current IU Health team member
Clinical license and/or other certifications as required by unit or department specialty
Key Responsibilities: Technical & Project-Focused Execution
Project Coordination & Support: Provide day-to-day coordination support to Project Managers across assigned projects, ensuring accurate tracking of tasks, timelines, and deliverables.
Documentation & Contracts: Create, maintain, and organize project documentation, contracts, schedules, and related materials in accordance with project standards.
Systems & Tools: Utilize systems such as Oracle and Trimble to support project administration, tracking expenditures, and maintaining project records.
Schedule & Timeline Support: Assist with the development and maintenance of project timelines, tracking milestones, and monitoring progress.
Cross-Functional Collaboration: Collaborate with internal teams and external partners to ensure alignment, information flow, and timely execution of project activities.
Issue Identification: Assess situations, gather appropriate information, and escalate or make recommendations to leaders when issues arise.
Customer Service & Representation: Provide quality customer service and serve as a professional representative of the project team and department.
Administrative Excellence: Support procurement-related activities and ensure consistency, accuracy, and timeliness across all project coordination tasks.
